Refund & Cancellation Policy

SoulState Coaching provides services that are experiential, time-based, and rooted in personal responsibility and readiness. This policy exists to create clarity, mutual respect, and clean boundaries for both coach and client.

By booking or purchasing any SoulState Coaching service, you acknowledge and agree to the terms below.

1. General Policy

All coaching services, sessions, and containers are non-refundable once delivered, whether in full or in part.

Coaching is a collaborative process. Outcomes depend on the client’s engagement, readiness, and integration. For this reason, refunds are not provided based on results, insights gained, discomfort experienced, or changes in personal circumstances.

2. Single Sessions (60-Minute SoulState Sessions)

Cancellations & Rescheduling

  • Sessions may be rescheduled once with a minimum of 24 hours’ notice.

  • Requests made with less than 24 hours’ notice are considered late cancellations.

Late Cancellations / No-Shows

  • Sessions cancelled within 24 hours, or missed without notice, are forfeited and non-refundable.

  • No make-up sessions will be offered in these cases.

3. Half-Day Sessions (Crossroads Sessions & Intensives)

Half-day sessions require significant preparation, calendar blocking, and dedicated availability.

Cancellations

  • More than 72 hours’ notice:

    • One reschedule may be requested, subject to availability.

  • Less than 72 hours’ notice:

    • The session fee is non-refundable and non-transferable.

No-Shows

Failure to attend a scheduled half-day session without notice results in full forfeiture of the session fee.

4. Coaching Containers (8-Week & 12-Week Programs)

All containers are non-refundable once the container has begun, regardless of attendance, participation level, or personal circumstances.

This includes, but is not limited to:

  • Changes in availability or priorities

  • Feeling “not ready” partway through

  • Discomfort with the work

  • External life changes

By enrolling, you are committing to the container as a whole.

Session Scheduling Within Containers

  • Individual sessions may be rescheduled once with a minimum of 24 hours’ notice.

  • Sessions cancelled within 24 hours, or missed without notice, are forfeited.

  • No make-up sessions will be provided.

Payment Plans

  • Payment plans represent a commitment to the full program, not a monthly subscription.

  • Missed or discontinued participation does not cancel remaining payments.

5. Early Termination by Client

If you choose to discontinue coaching early:

  • No refunds will be issued for unused sessions or remaining time.

  • Access to coaching, support, or materials may be withdrawn at the coach’s discretion.

6. Early Termination by Coach

In rare circumstances, SoulState Coaching reserves the right to terminate the coaching relationship if:

  • The work is no longer aligned or appropriate

  • Professional boundaries are repeatedly violated

  • Continued coaching would not be ethical or constructive

In such cases, any unused, prepaid sessions may be refunded on a pro-rata basis, at the sole discretion of SoulState Coaching.

7. Exceptional Circumstances

Requests for exceptions due to serious, unforeseen circumstances (e.g. medical emergencies) may be considered at the sole discretion of SoulState Coaching. Exceptions are not guaranteed and do not set precedent.

8. Chargebacks & Payment Disputes

Initiating a chargeback or payment dispute without first contacting SoulState Coaching to seek resolution is considered a breach of this agreement.

This policy, along with signed agreements and session records, may be provided to payment processors in the event of a dispute.

9. Agreement

By booking a session or enrolling in a program, you confirm that:

  • You have read and understood this Refund & Cancellation Policy

  • You accept responsibility for your participation and readiness

  • You agree to these terms in full
